Olivier Wauters from Eventonline discussed with Elisabeth Van Ingelgem, Director of the Convention and Association Bureau at visit.brussels, the essence of a convention bureau and what the future holds for the MICE industry in Belgium’s capital as she focuses on nurturing perspectives.
“A convention bureau is all about making connections. It is a useful partner for planning meetings and conventions”, explains Elisabeth Van Ingelgem. “It’s a connecting point, a helping hand that will refer you to all the people and services you need to make your event successful. It’s all about finding the right venue, the right people and eventually a professional event partner that can help you, with logistics, catering etc. In other words, we provide all kinds of services to connect the meeting planner with local providers to make his/her event a success.”

The Convention Bureau’s mission is to attract conventions to Brussels. One of the best ways to do this is to foster and promote entrepreneurship in Belgium’s innovative and fast-growing industry sectors. They contribute exponentially to the development of Brussels as an international MICE destination.
“We are here to promote Brussels internationally and attract the highest amount of events in Brussels, but we exist also to ensure that these events are a success and that the participants to those congresses, events or fairs are having a great time in Brussels. We are also helping the organizers with that. Providing all the needed information, so, when the meeting or congress is finished, people have a great time in Brussels and discover what this beautiful city has to offer. Brussels is a seasoned congress destination. People come to the city for business, but often return for tourism as they like the city and want to spend more time here with their family or friends the next time they visit. Hence, we see to it that when they are here for the first time on a business related trip, they realize the tourism potential of the city as well, so they become genuine ambassadors for our beloved city.”

The Director also notes a change in the market. “People rely more on our services. They don’t see us solely as a partner anymore who can only find them a venue. They see us as a partner who looks at the objectives they want to achieve in Brussels and help them to reach these goals. We are becoming a more strategic partner now. The way people see meetings and conventions is also evolving. Previously, the importance of the meeting industry was evaluated by the importance of its impact. But the meeting industry provides more than an economic impact”, states Elisabeth Van Ingelgem. “There is also a social legacy now. It’s actually impressive what social impact a congress can leave on the city. If we take the example of medical congresses, we can actually see that it is very important for the improvement of research, science etc. in our city. Thus MICE events can leave a long lasting legacy in a destination. Hence, the importance for us to quantify this impact and have a better understanding of it and also to show this to the general public.”

Also more formats of meetings arise. “It’s very exciting to work for all kinds of industries. The role of a convention bureau is not only to attract conventions but also to identify niches or new sectors emerging that actually also need meetings and congresses, creating new meetings and formats, new opportunities.”
It is clear that the MICE market is extremely dynamic in Brussels, with countless venues being regularly renovated and new ones popping up all the time. Unique venues emerge, like churches, dedicated museums etc. “People are looking for experiences. They want something special, venues that can boost innovation or creativity. The example par excellence is of course the Atomium. But what is exciting for the moment is the fact that we have a lot of new museums opening their doors. These are venues as well. We see the venue availability in Brussels developing fast. There is the Docks Dome, Train World, the Courtyard Brussels EU, the BEL, Euraffex, The Beer Temple and the House of European History, all ideal starting points for seeing Europe in Brussels. Besides, all these new venues are scattered around the 19 districts of Brussels and not only in the city center.”

Visit.brussels is more than the traditional convention bureau. Last year, visit.brussels developed a new Association Bureau to serve as a one-stop-shop for associations headquartered in the city. “We also have an association bureau providing specific help to associations, not only for the meetings but to their general activities in Brussels. In providing this service to associations, we are the only city in the world to do so”, Elisabeth Van Ingelgem explains.

The bureau also launched an ambassador program. “All professionals living in Brussels and international carriers are promoting our city every day. They are influencers who, in front of an audience of academics, doctors, European policy makers, deans of universities, chairmen and board members of international associations based in Brussels, scientists, hospital directors and other destination partners, have been able to land major international events for Brussels. Our role is to help Belgian academic and economic spheres focus on the importance and the advantages of having an international event on their specific field take place in Brussels.”
These ambassadors have organized, annually, 66 trade fairs, conventions and sports events, each with over 800 participants. These events, in total, welcomed 500,000 participants and 9,472 speakers over the past 3 years.

“Bij een conventiebureau draait alles om het maken van contacten. Het is een nuttige partner voor het plannen van vergaderingen en conventies”, aldus Elisabeth Van Ingelgem. “Het is een verbindingspunt, een helpende hand die u verwijst naar alle mensen en diensten die u nodig heeft om uw evenement succesvol te organiseren. Het betreft hier het vinden van de juiste locatie, de geschikte mensen en uiteindelijk een professionele evenementpartner die u verder kan helpen met logistieke voorbereidingen, catering, enz. Met andere woorden, ons bureau biedt allerlei diensten aan om de meetingplanner met lokale aanbieders in contact te brengen om van zijn/haar evenement een succes te maken.”

De missie van het Conventiebureau is uiteraard zoveel mogelijk congressen en conventies aan te trekken naar Brussel. Een van de beste manieren om dit te doen, is het bevorderen van ondernemerschap in de innovatieve en snelgroeiende sectoren van België. Zij dragen exponentieel bij aan de ontwikkeling van Brussel als internationale MICE-bestemming.
“We zijn hier om Brussel internationaal te promoten en zoveel mogelijk evenementen naar Brussel te brengen, maar we bestaan ook om ervoor te zorgen dat deze evenementen een succes zijn en de deelnemers aan die congressen, meetings of beurzen een geweldige tijd in Brussel doorbrengen. We helpen bijgevolg de organisatoren daarmee. Door alle nodigde informatie te verstrekken zodat na afronding van de vergadering of het congres, de deelnemers een geweldige tijd in Brussel hebben gehad en hebben ontdekt wat deze prachtige stad te bieden heeft. Brussel is een gewaardeerde congresbestemming. Mensen komen naar de stad voor zaken, maar keren vaak terug een nadere keer om hier als toerist meer tijd doorbrengen met gezin of vrienden. Daarom zorgen we ervoor dat wanneer ze voor de eerste keer hier op zakenreis zijn, ze tevens de toeristische mogelijkheden van de stad leren kennen, zodat ze echte ambassadeurs worden voor onze geliefde stad.”
De directeur merkt ook veranderingen in de markt. “Mensen vertrouwen meer op onze diensten. Ze zien ons niet meer alleen als een partner die hen enkel een locatie kan vinden. Zij zien ons tevens als een partner die naar de doelstellingen kijkt die zij in Brussel willen bereiken en hen helpen om deze doelen te bereiken. We worden steeds meer een strategische partner. De manier waarop mensen vergaderingen en conventies zien, verandert ook. Voorheen werd het belang van de vergaderindustrie geëvalueerd door het belang van de impact ervan. De vergaderindustrie biedt echter meer dan een economische impact “, stelt Elisabeth Van Ingelgem. “Er is nu ook een sociale erfenis. Het is eigenlijk indrukwekkend welke sociale impact een congres op de stad kan hebben. Neem nu voorbeeld medische congressen, dan merken we dat het zeer belangrijk is voor de verbetering van onderzoek, wetenschap, enz. in onze stad. Zo kunnen MICE-evenementen een langdurige nalatenschap voor een MICE-bestemming betekenen. Vandaar dat het belangrijk is om deze impact te kwantificeren en beter te begrijpen en om dit ook aan het grote publiek te tonen.”

Ook meer formaten van vergaderingen ontstaan. “Het is heel spannend om te werken voor allerlei industrieën. De rol van een conventiebureau is niet alleen om conventies aan te trekken, maar ook om niches of nieuwe sectoren te identificeren die op dat moment ook vergaderingen en congressen nodig hebben, nieuwe vergaderingen en formaten creëren, zo ontstaan nieuwe kansen.”

Het is duidelijk dat de MICE-markt extreem dynamisch is in Brussel, waarbij talloze locaties regelmatig worden gerenoveerd en er nieuwe mensen opduiken. Unieke locaties ontstaan, zoals voormalige kerken, specifieke musea, enz. “Mensen zoeken ervaringen. Ze willen iets speciaals, locaties die innovatie of creativiteit kunnen stimuleren. Het voorbeeld bij uitstek is natuurlijk het Atomium. Wat momenteel spannend is, is het feit dat we veel nieuwe musea hun deuren openen. Dit zijn ook locaties. We zien de beschikbaarheid van locaties in Brussel snel ontwikkelen. Er zijn de Docks Dome, Train World, de Binnenplaats Brussel EU, de BEL, Euraffex, The Beer Temple en het Huis van Europese Geschiedenis, allemaal ideale uitgangspunten voor het zien van Europa in Brussel. Bovendien zijn alle nieuwe locaties verspreid over de 19 wijken van Brussel en niet alleen in het stadscentrum.”

Visit.brussels is meer dan het traditionele conventiebureau. Vorig jaar heeft visit.brussels een nieuw associatiebureau opgericht om te dienen als een one-stop-shop voor associaties met hoofdkantoor in de stad. “We hebben ook een associatiebureau dat specifieke diensten aan associaties aanbiedt, niet alleen voor de vergaderingen, maar ook voor hu  algemene activiteiten in Brussel. Wij zijn immers de enige stad ter wereld dat dit doet “, stelt Elisabeth Van Ingelgem trots.

Het bureau heeft ook een ambassadeursprogramma gelanceerd. “Alle professionals die in Brussel verblijven en internationale luchtvaartmaatschappijen bevorderen onze stad elke dag. Zij zijn beïnvloeders die voor een publiek van academici, artsen, Europese beleidsmakers, universiteitsdocenten, voorzitters en bestuursleden van internationale verenigingen gevestigd in Brussel, wetenschappers, ziekenhuisdirecteuren en andere bestemmingspartners in staat zijn grote internationale evenementen voor Brussel te landen. Onze rol bestaat erin om de Belgische academische en economische gebieden te helpen richten op het belang en de voordelen van het feit dat in Brussel een internationaal evenement op hun specifieke terrein plaatsvindt.”
Deze ambassadeurs hebben jaarlijks 66 beurzen, conventies en sportevenementen georganiseerd, elk met meer dan 800 deelnemers. Deze gebeurtenissen hebben in totaal ruim 500.000 deelnemers en 9.472 sprekers over de afgelopen 3 jaar verwelkomd.
